Custom field or note?
A note is free text about one visit or one moment: “complained about the parking”. A custom field is a structured piece of information that every record of that kind has: every dog has a breed, every patient a prescription date. Fields can be mandatory and are typed; notes are not.
Custom field or resource?
A resource is something that gets booked — a room, a chair, a device. A custom field only describes a record. “Cabin 2” on a working-hours row says where someone works; it does not book the cabin.
Typical examples
Guests: pressure and favourite oil, loyalty card number, how the guest found the studio. Working hours: cabin. Employees: contract type, certificate valid until. Items: supplier, shelf location, purchase price in a foreign currency. Discount types: campaign channel. Notes: kind of note, follow-up date.
Under “Customizing” a business adds fields to customers, employees, working hours, items, discount types and notes: text with a maximum length, whole number, amount of money with its own currency, date or a choice from values it defines; each optionally mandatory. The fields appear in the staff forms, working hours also show them as a column. Fields are switched off instead of deleted, so values are never lost. Custom fields are for the team: customers do not fill them in online, and they are not shown in lists or exports.
