Customer record (CRM)

The difference between a guest who feels remembered and one who explains everything again is a single record that somebody kept up to date.

Definition

A customer record is the single file a business keeps for one guest: contact details, addresses, the treatments they have had, what they paid, and the notes staff need next time, such as allergies or a pressure preference.

What belongs on a massage clinic's record

Three layers, and the middle one is what makes this trade different. The contact layer is name, phone number, e-mail and address. The treatment layer is what was actually done, when, by which therapist and at what price, so a returning guest can be asked whether last time's pressure was right. Between them sit the notes a therapist has to read before touching anybody: an oil allergy, a recent operation, a pregnancy, a shoulder that must be left alone, the pressure this guest likes. Written down once, that note protects the guest and the therapist and saves the same conversation every visit.

Why sticky notes and chat apps lose it

The usual arrangement is a phone number in one person's messages, a name in the appointment book and an allergy on a note stuck to the counter. It works until the person with the phone is off, the note falls behind the till, or the guest comes back after eight months. A record only earns its keep if everyone can reach it, so it has to live where the whole team works, and it has to be findable the way the information arrives: a ringing phone means searching by number, not by a surname nobody spells the same way twice.

Keeping records clean and useful

Keep one record per person. Duplicates are born at the front desk when a known guest is typed in afresh, so search before creating, by number first. Decide what every record must carry and insist on it, because a field everyone skips is worse than no field at all. Write only what the treatment needs: health notes are sensitive, and a guest who knows why you keep them is usually glad you do. Let guests correct their own details where they can, and ask at the desk for the rest. Finally, make the history tell the story: treatments, packages and sales in one list beat four places to look.
