No-show

A therapist waits, a mat stays empty and the hour is gone: no-show minutes are the hardest kind of lost revenue to win back.

Definition

A no-show is a booked appointment that the customer neither attends nor cancels, so the time stays blocked and nobody else can use it. It differs from a cancellation, where the slot is given back early enough to be filled again.

Why a missed massage hurts twice

A massage appointment is rarely a single resource. The slot holds a therapist who is rostered and paid for the shift, the mat or treatment room the treatment needs, and the minutes set aside before and after it for changing and fresh linen. When nobody turns up, all of that stays blocked, and the guest who called that morning has already been told the afternoon was full. Bookings made days ahead by phone or chat are the usual source: plans change, a visitor leaves early, a message is never read, and nobody thinks to tell the shop.

Count no-shows apart from cancellations

The two look alike on the day but behave differently, so they belong in separate columns. A cancellation that arrives the evening before can still be filled; a no-show cannot. Measure it as a share of all bookings over a month. Take 240 bookings with 12 no-shows: that is 5 percent. If a 60-minute massage brings in 600 baht, those twelve empty hours are 7,200 baht that was promised and never arrived, on top of therapist hours already rostered. Watching that one share month by month tells you whether reminders and deadlines are working better than any single story can.

What actually brings the rate down

Three habits do most of the work. First, remind twice: once the day before, so a forgotten appointment can still be moved, and once shortly before the visit, which catches the guest who is simply running late. Second, make cancelling easier than not showing up, because a tap in a message beats a phone call to a busy front desk, and a clear deadline tells people when it is too late. Third, write it down. A note on the record of a guest who has missed twice lets whoever answers the phone next time ask for a confirmation call.

No-shows in Thai Clinic App

Staff mark a booking as a no-show on the appointment itself. The booking keeps its place in the day instead of disappearing the way a cancellation does, it shows in a muted colour on the calendar, and the figures count it apart from cancellations; the booking funnel that carries the no-show share sits in the advanced reports on the Business plan. Marking one sends nothing to the guest. Before the visit, two e-mail reminders can go out, one the day before and one an hour before, each switchable on its own, and every booking e-mail carries a link to cancel or move the appointment without signing in.

Frequently asked

What counts as a no-show?

A booked appointment where the guest neither arrives nor cancels in time. Arriving so late that the treatment can no longer be given is usually counted the same way. A cancellation, however late, is a different thing: the shop was told, and had at least a chance to fill the slot.

What is the difference between a no-show and a late cancellation?

Timing, and the chance to resell the slot. A late cancellation reaches you before the appointment, so the time can still be offered to somebody else, and the guest has told you what they intend to do. A no-show leaves the slot blocked to the last minute, which is why the two are worth counting separately.

Can I record a no-show in Thai Clinic App?

Yes. Any staff member can mark the appointment as a no-show. It keeps its place in the calendar in a muted colour rather than vanishing, and the figures tell no-shows and cancellations apart, so you can see which of the two your shop actually has.

Fewer empty mats, fewer forgotten appointments.
