Online booking

Most enquiries arrive after the last guest has left; a booking page turns those late-evening messages into appointments already in the calendar.

Definition

Online booking is a public page where a customer chooses a treatment, a time and usually a therapist, and the appointment is written straight into the business's calendar. Availability is read from the live roster, so only times that can really be served are shown.

What a booking page has to know

A page that only collects a wish is a contact form with extra steps; a booking page has to answer whether the time is actually free. That means four things at once: the therapist's rostered hours and absences, the appointments already in the book, the room, mat or device the treatment needs, and the padding before and after it. Miss any of them and the page will cheerfully sell an hour that does not exist, which costs more goodwill than the phone call it saved. The check also has to run again at the moment of saving, because two people can open the same slot a minute apart.

Slot grids, notice and how far ahead

Three numbers shape what a guest sees. The grid decides which start times exist: on a fifteen-minute grid a day from nine to six offers a 60-minute treatment 33 possible starts, while a half-hour grid offers 17. The shortest notice stops somebody booking a treatment that begins in ten minutes, before anyone at the shop has read the page. The horizon decides how far into the future the calendar opens; a couple of months suits most shops and keeps next year's roster out of reach. Set the three once, and the page stops offering times you would have refused on the phone.

Confirm at once, or approve first

Two models, and the choice says something about the shop. Instant confirmation gives the guest certainty while they are still interested and takes the whole exchange off the front desk; it does mean the calendar fills without anybody looking at it. Approval first lets you check an unusual request or a new therapist's first week, at the cost of a guest who waits and may book elsewhere. A middle way is to confirm instantly but keep the shortest notice generous, so there is always time to react. Whichever you pick, the confirmation should carry a way to cancel or move the appointment, because the alternative is a no-show.

Do I need a website before I can offer online booking?

No. What you need is one public page a guest can open, with your treatments, your prices and a way to pick a time. A short link to that page in an Instagram bio, a Facebook post or a chat message does the same job as a website, and is far quicker to keep current.

Can online booking cause double bookings?

Only if the page works from its own list instead of the calendar your team uses. When both read the same roster and the same appointments, and the availability check runs once more as the booking is saved, the slot somebody else took a minute earlier is refused rather than sold twice.
